a. Information you provide
- Account data - name, email address, hashed password, and optional profile fields.
- Order data - items purchased, currency, billing details, and order history.
- Communications - messages you send through contact forms, email, or live chat, including attachments.
- Marketing preferences - your opt-in or opt-out status for newsletters and product updates.
b. Information collected automatically
- Device & browser - user-agent, OS, screen size, language, time zone.
- Usage - pages viewed, referring URL, search terms used on-site, and clickstream within KNScert.
- Network - IP address (truncated where possible) and approximate geolocation derived from it.
- Cookies & similar - see the Cookie Policy.
c. Information from third parties
- Authentication data from Google (only when you sign in with Google).
- Payment confirmation tokens from our payment processor - KNScert never sees or stores your full card number.
4. How we use information
- Deliver purchased exam preparation materials and provide ongoing access.
- Process payments, prevent fraud, and honor our 100% Pass Guarantee.
- Operate accounts: sign-in, password reset, order history, and support.
- Send transactional emails (receipts, delivery, password resets, refund updates).
- Send newsletters and offers only where you have opted in. Every email includes a one-click unsubscribe link.
- Improve content accuracy, site performance, search relevance, and security.
- Comply with legal, accounting, tax, and regulatory obligations.
5. Legal bases (GDPR / UK GDPR)
If you are in the EEA, UK, or another jurisdiction that requires a lawful basis, we rely on:
- Contract - to deliver the products you purchased and provide your account.
- Legitimate interests - to secure the Service, prevent abuse, and improve our offering, in a way that does not override your rights.
- Consent - for marketing emails and non-essential cookies. You may withdraw consent at any time.
- Legal obligation - to keep accounting records and respond to lawful requests.
7. International data transfers
Our service providers may process data in countries outside your home jurisdiction. Where required, we rely on appropriate safeguards such as Standard Contractual Clauses or equivalent mechanisms to protect your information during transfer.
9. Data retention
- Account data - kept while your account is active. You can request deletion at any time (see Section 11).
- Order & invoice records - retained for the period required by tax and accounting law (typically 5–7 years).
- Support tickets - retained up to 24 months after closure for quality review.
- Analytics & logs - retained in aggregated form; raw logs are rotated within 90 days.
10. Security
- Passwords are stored only as salted hashes - never in plain text.
- All traffic is served over HTTPS/TLS.
- Card data is handled by a PCI-DSS-compliant processor; we never store full card numbers.
- Access to customer data is restricted to authorized staff on a need-to-know basis.
- We monitor for suspicious activity and patch dependencies regularly.
No system is 100% secure. If you suspect your account has been compromised, contact security@knscert.com immediately.
11. Your rights
Depending on your jurisdiction, you may have the right to:
- Access the personal information we hold about you.
- Correct inaccurate or incomplete information.
- Request deletion of your information ("right to be forgotten").
- Restrict or object to certain processing.
- Receive your data in a portable format.
- Withdraw consent for marketing or non-essential cookies at any time.
- Lodge a complaint with your local data protection authority.
To exercise any of these rights, email privacy@knscert.com from the address on your account. We respond within 30 days.
12. Children's privacy
The Service is intended for users aged 18 and over. We do not knowingly collect information from children under 16. If you believe a child has provided us with personal information, contact privacy@knscert.com and we will delete it.
13. Do Not Track
Browsers may transmit a "Do Not Track" signal. Because there is no industry-wide standard for how to respond, the Service does not currently react to DNT signals. You can still opt out of analytics cookies via the Cookie Policy.
14. Third-party links
The Service may contain links to third-party sites (e.g., certification vendors). We are not responsible for the privacy practices of those sites. Please read their policies separately.
15. Changes to this policy
We may update this policy from time to time. Material changes will be highlighted on this page and, where appropriate, communicated by email. Continued use of the Service after the effective date constitutes acceptance of the updated policy.
